Salesforce Administration Introduction:

Admins keep users of salesforce trained and educated to solve complex business problems and keep projects moving ahead. An Admin delivers creative solutions – making Salesforce users happier and therefore the business smarter.They like to help their team be efficient and on top of things.

In administration you can acquire skills in salesforce basics, building Salesforce interface , developing Salesforce Data model, how to implement Salesforce business logic, Managing User, Securing and Sharing Salesforce Data, Workflows and Approvals,Reports and Dashboards.

Creating Salesforce Account:

One can create salesforce account on the URL: https://developer.salesforce.com

You should fill the basic details such as LastName, firstName, company, Postal Code, Role.

UserName should be in the form name@yourCompanyName.com 

For example selena@abc.com, Gomez@xyz.com …etc

On filling the details you can submit.Login into the email address specified in the registration form. Activate your account. Set the password and security question. Salesforce offers the CRM applications in two view they are Classic view and Lightning View

Basic Definitions in salesforce:

Objects:  Objects are nothing but the tables where we store the data 

Tabs: Tab is a interface between user and application 

Profiles: Profile will specify what users can see and perform in the organization .

Users: Employees of the client who login and use the application

Company Profile: This will manage all the basic details about the organization like Company Information, Language Settings, Fiscal Year,Business Hours, Holidays.

Company Information: This will maintain basic details of the organization like OrganizationId, Time Zone, Default Language, Multiple Currencies, Licenses, Corporate Currency and so on.

Organization Id: Salesforce by default provides 18 character Id. Based on this id salesforce recognizes the instance of force.com. ID will start with 00D

Corporate Currency: This will specify the format of the currency you organization wants to follow. In case if your organization wants to support multiple formats of currencies then enable corporate currency. Salesforce will not specify the conversion rate for multiple currencies. We have to provide the fixed conversion rate based on your business.

Default Time -Zone: This will specify the time zone that your organization wants to follow.

Default Language:  This will specify the language your organization wants to follow. Based on this your organization UI will be displayed. 

Licenses: This will specify the no of licenses your organization has purchased ,used and remaining. This will also specify the data usage and api limits consumed per day. We can track the edition and instance of your server from the company information.

Navigation for Company Profile:

Classic:

   1.Click on setup

   2.Click on Administer

   3.Click on Company profile

   4.Click on Company Information

 Lightning:

   1.Click on setup

   2.Click on Settings

   3.Click on Company Settings

   4.Click on Company Information

Fiscal year: This will specify the business year of your organization. There are two types of formats they are Standard Fiscal year, Custom Fiscal years.

Standard Fiscal year:  This will follow a 12 months format. If you choose this salesforce will manage quotes ,reports and forecasts.

Custom Fiscal year: If we want to specify our own format of business year then we enable this. Once enabled this cannot be disabled. If we create a custom fiscal year then we can choose a 12 months or 53 weeks pattern. If we enable a custom fiscal year then we have to manage reports and forecasts.

Classic:

   1.Click on setup

   2.Click on Administer

   3.Click on Company profile

   4.Click on Fiscal Year

Lightning:

   1.Click on Setup

   2.Click on Settings

   3.Click on Company Settings

   4.Click on Fiscal Year

   After you click on Fiscal year, Choose the Standard /Custom. IF you choose Standard then choose the start month and Specify end. If you choose Custom then choose Enable the option, Choose the pattern and Specify the start date.

Language Settings: This will specify the list of languages that your organization wants to support for end users.

Enable end-user languages: If you choose any of these languages ,salesforce will convert the entire application into that language except setup and help.

Platform-Only user:  These languages are applied for custom functionalities. If you choose any of this language salesforce will not translate. We have concept of Translation workbench to translate

Documents: 

Document may be a standard object created by the salesforce. We apply Document objects to store Sensitive information such as Files or Images or Docs.Any user whose profile has access to read permission on the Document object can access the document. Documents are classified as Internal Document|Externally available Image.

Internal Document:  These documents are often accessed or shared with only internal users. Content of the document is not visible directly. 

Externally Available Image:

These documents are often shared with internal users and external users .

Content of this document is visible directly. Maximum size of the document that we can upload at a time  is 5MB. If we want to utilize the document as a logo for your application  then the size of document should be more  than 3KB and less than 20KB. In the folder all the documents are stored. Users who have access to the present folder can view the documents.

Steps to create Document Folder:

Navigation:

1.Click on Setup

2.Click on TabPanel

3.Click on  ‘+’ sign

4.Click on Document

5.Click on create Document Folder

6.Enter Folder Name

7.Enter Visibility: Read | read Write

8.Choose the list of users to whom the folder should be visible

Steps to create a new Document:

Navigation:

1.Click on Setup

2.Click on TabPanel

3.Click on  ‘+’ sign

4.Click on Documents

5.Click on New Document

6.Enter Document Name, for example: Logo

7.Enter Unique Name, for example: Logo

8.Choose the document Type as Internal |External, for Example : External

9.Enter Description and keyword. Keyword is employed for checking out this document from global search.

10.Choose the document

11.save

Which types of files we can upload or download:

1.Click on Setup

2.Click on Administer

3.Click on  Security Controllers

4.Click on File Uploads and Downloads

5.Click on Edit

If you want to use any document as a logo ,it should be an externally available image. Ensure the size is more than 3KB Less than 20KB.
